This Privacy Policy (the “Policy”) is made under the Personal Information Protection Law and the Cybersecurity Law of the People’s Republic of China and other laws and regulations. It explains how we collect, use, store, entrust the processing of and protect your personal information when you visit this website, use the automatic Q&A or submit the enquiry form, and what rights you have. Please read it before you submit any information.

If you choose to contact us through WeChat, your information is processed by WeChat (Tencent) under its own rules; we only receive what you send us after you add us.
2. What we process, why, and for how long
| Context | Information | Purpose | Retention |
|---|---|---|---|
| Enquiry and contact form | Name, email address and message (required); company name, telephone or WeChat ID, country or region, product of interest, estimated quantity, files you choose to attach (such as drawings or specification sheets) and “how did you hear about us” (all optional) | To reply to your enquiry and to discuss quotations and cooperation; to learn how customers find us and improve our service (for the optional “how did you hear about us” field) | The content of the form is not stored on the website server or in its database; it is sent straight to the company mailbox as an email. The email is kept in the company mailbox: enquiries that do not lead to business are deleted 1 year after the last contact; where business results, the email is kept until the contract has been performed and the 3-year limitation period has expired, unless a law requires longer; we clear the mailbox at least once a year. |
| Automatic Q&A | The text of the question you type | To reply with pre-written answers to common questions | The conversation is kept only in your browser’s session storage and is normally cleared when you close the tab or the browser. Questions the system cannot answer are recorded in an internal file on the server after email addresses, telephone numbers and web addresses have been removed and the text has been cut to the first 200 characters, together with the date and language, to help us add to our answers to common questions. This record contains no IP address or other device identifier, and email addresses, telephone numbers and web addresses are removed as far as possible, but we cannot rule out that you typed a name, company name or similar yourself, so please do not enter personal information in your question; the record is kept for no more than 90 days and is cleaned up daily by the system. Because the record holds no identifier, we may be unable to locate a single entry on request. |
| Server access logs | IP address, time of access, pages visited (including search keywords if you use the site search), browser and device type, referring page | To keep the website and the network secure and to find faults; to produce visit statistics (IP addresses in these reports are de-identified: the last part is cut off so that complete addresses are not shown) | At least 6 months (usually 6 to 7 months), then deleted. This is the minimum for network logs under the Cybersecurity Law. |
| Cookies | One functional cookie (pll_language) that records the page language you are viewing (your choice or your browser’s language setting) | To remember your language choice | Up to 1 year; you can delete it in your browser at any time. |
| Protection against abuse (rate limiting) | A hash (digest) of your IP address; the IP address itself is not displayed, but the digest is still protected as personal information | To stop the form and the automatic Q&A from being submitted repeatedly in bad faith and to stop brute-force login attempts | Valid for 1 hour (counted from your most recent submission); expired entries are cleaned up daily by the system and are deleted within 2 days at the latest. |
This website does not use statistics, advertising or tracking cookies, embeds no third-party statistics, advertising or social-media plug-ins, and, apart from the entrusted service provider named in section 4, does not send your information to third parties because you visited it. Please do not enter personal information in the form or the automatic Q&A that is not needed for your enquiry, and never enter sensitive personal information such as identity document numbers, bank accounts, location history or medical and health data.
3. Basis of processing; your consent
By voluntarily submitting the form or typing a question, you agree, after reading this Policy and understanding the processing described above, that we process the information you provide for the purposes stated above. Keeping access logs and rate limiting are necessary for us to meet our network-security duties under the Cybersecurity Law; visit statistics use only de-identified data. Not providing optional information does not affect your use of this website; but if you do not provide the required information (name, email address and message) we cannot accept or answer your enquiry. You can withdraw your consent at any time by email; withdrawal does not affect processing carried out on the basis of your consent before it was withdrawn. Without your consent we will not use your contact details to send you promotional messages unrelated to your enquiry.
4. Entrusted processing, sharing and disclosure
- We do not sell your personal information and, apart from the entrusted service provider named below, do not provide it to other personal information processors, unless laws and regulations provide otherwise.
- Entrusted processing: the server of this website and the company mailbox are provided by Alibaba Cloud Computing Co., Ltd. (“Alibaba Cloud”) as technical services. Under the service agreement it has concluded with us, Alibaba Cloud processes information only as far as needed to provide these services, and we have agreed data-security obligations with it. Personal information collected and generated by us in China is stored on servers and in mailboxes located in mainland China.
- We may disclose information where laws and regulations require it or where a judicial or administrative authority lawfully demands it.
5. Access from outside mainland China
To keep the website running and secure, the technical maintenance person we have engaged (an individual, currently located outside mainland China) may access the server remotely over an encrypted connection and, as far as maintenance requires, view data on the server, including access logs (with IP addresses), rate-limiting records, the record of unanswered questions and operational notification emails. This access is used only for maintenance, troubleshooting and security, takes place only on our instructions, and is subject to access control, multi-factor authentication and access logging. We have not authorised this person to access the company mailbox that receives the form. We may also use an assistive tool provided from outside mainland China to organise the record of unanswered questions (contact details removed, no IP address) in order to improve our answers to common questions. To learn about this access from outside mainland China, or to exercise the rights described in section 7 in relation to it, please write to us at the address in section 1; we are responsible for handling the request. To prevent data loss, backup copies of the website database and files may be stored outside mainland China; the backups do not contain server access logs, automatic Q&A records or form content. Information submitted through the form is not kept on the server; it is sent only to the company mailbox located in mainland China.
6. How we protect your information
We transmit data over encrypted connections (HTTPS), restrict access to the server and the mailbox, and keep as little personal information on the server as possible. If a personal information security incident occurs, we will notify the competent authorities and the individuals affected promptly as required by laws and regulations; where individual notice is not practicable, we will inform you by a notice on the website.
7. Your rights
As provided by law, you have the right to know about and decide on our processing of your personal information, to restrict or refuse it, to access, copy, correct, supplement and delete your personal information, to request, where the conditions set by the national cyberspace authority are met, that your personal information be transferred to a personal information processor you designate, to withdraw your consent, and to ask us to explain the rules of processing in this Policy. Please write to helena@frphk.cn, state your request and give the information needed to verify your identity. We will reply within 15 working days after receiving your request and verifying your identity; if we refuse your request, we will give reasons. If you believe our processing infringes your lawful rights and interests, you may also complain to, or report the matter to, the competent authority, or bring an action in a people’s court.
8. Minors
This website is aimed at business customers and not at minors under 14, and we do not knowingly collect their personal information. If you are a guardian and find that a minor has given us personal information, please contact us and we will delete it promptly.
9. Changes to this Policy
We may update this Policy as laws and regulations or our business change. The updated Policy will be published on this page with its date; for significant changes we will tell you in a prominent way.
10. Governing law
This Policy is governed by the laws of the People’s Republic of China (for this purpose excluding the laws of the Hong Kong Special Administrative Region, the Macao Special Administrative Region and the Taiwan region).
